Generative AI (GenAI) is transforming how we work and project management is no exception. By harnessing the capabilities of AI, project managers (PMs) can streamline their processes, improve decision-making, and ultimately deliver projects more effectively and efficiently. Embracing GenAI allows PMs to achieve new levels of productivity, effectiveness, and innovation. But how can you, as a PM, acquire the knowledge and skills needed to leverage the potential of GenAI? Where should you begin?
Understanding GenAI
Before exploring practical applications, it’s important to understand what GenAI is. GenAI refers to algorithms that generate new content, such as text, images, or even code, based on the data they have been trained on. These tools can assist with various project management tasks, including drafting reports and predicting project outcomes.
I have been experimenting with several GenAI tools, including ChatGPT, Copilot, Gemini, Harpa AI, MetaAI and Adobe Firefly, among others. Through this experimentation, I have learned that the way I phrase my prompts significantly impacts the quality of the outputs generated by these tools. To fully leverage the potential of GenAI tools, PMs need to master the art of prompt engineering.
What is Prompt Engineering
Prompt engineering involves creating effective prompts to elicit desired responses from AI models. A well-crafted prompt can significantly influence the quality and relevance of the generated output. Prompts serve as instructions that guide generative AI in producing responses. Similar to a recipe, a good prompt outlines exactly what you want the tool to “create.” For PMs, this means developing a variety of elements, including project timelines, concise email responses, risk assessments and ideas for brainstorming sessions. The clarity and specificity of a prompt directly affects the quality and relevance of the AI‘s output. By learning to write clear, detailed, and purpose-driven prompts, PMs can unlock the full potential of generative AI and use it to enhance productivity, problem-solving, and communication.
Throughout my learning journey, I have come to appreciate prompt crafting as a process that helps clarify my requirements. I envision myself interacting with the AI chatbot, describing and explaining what I want it to create. To achieve this, it’s essential for me to understand and plan the project thoroughly so that the AI chatbot can assist me effectively in various project activities.
Building Your Way to Effective Prompting
A strong prompt typically includes:
Context
Describe the scenario or issue briefly. For instance, instead of “Create a project update,” specify “Create a concise project update for stakeholders on project X’s progress, budget, and timeline.”
Objective
State what you want the outcome to accomplish. For example, “Provide a risk assessment for a project completion timeline.”
Tone and Style
Specify the tone, formality, or format, especially if the output will be shared with different audiences. You might say, “Draft a friendly, motivational update for the team on the project's progress.”
Another example is “Draft a formal email update for senior stakeholders regarding the delay in project Y, covering the reasons for the delay, mitigation actions, and a revised timeline.”
Learning to write effective prompts is an iterative process. Begin with a simple question or request, and refine it gradually based on the AI’s responses. Each response provides insights into what you may need to clarify or specify for next time. This process is similar to explaining to someone what you need them to create or develop. As you continue to refine your prompts, you’ll discover which styles and structures produce the best results, allowing you to become more precise and efficient in your requests.
If the AI has difficulty completing a task, consider providing an example of the desired output to guide it. For instance, you might say, “Create a project update similar to this example: [insert text here].” Additionally, you can experiment with tailoring prompts based on specific phases of the project.
